Probably one of the most common questions I get is about accessing a database.  Everyone wants to get to their database no matter where they are or what device they are using.  Act is the only CRM that provides that high level of functionality and flexibility – it’s what I call Act Anywhere.  So, let’s dive into this a bit.

If you want to see your database on your computer – you can install and use the Windows version of Act.  Or you can simply open a browser and view your database via the cloud (this option does require that your database be hosted or that you have installed Act for Web on the server).  Another great option is to use a Terminal Server, which allows you to remotely connect to a Windows desktop on your server and do all of the things you would do as if you were sitting at your own computer.

If you have an iPad, you can access your database via the Act mobile solution, which is a streamlined version of your database and optimized for the iOS or Droid OS.  Using this option, you can create and clear activities, send emails that record into Act, view Contacts, Groups, Companies and Opportunities… basically everything you would do if you were in front of your computer.   Your smart phone would work in the same fashion. 

You can also install one of the many Apps from the App store that manage remote desktop connections and connect back to your Windows desktop from your iPad.  I have one of those cool keyboards that also has an iPad case so it looks like my iPad is a mini-laptop PC.  It’s super fast – in 3-4 clicks, I’m looking at my Windows desktop and it works from anywhere in the world.  So I can be sitting on a beach in Maui sending emails and working in my database and it looks like I’m hard at work at my desk.

If you have a Mac, you can access your database via the Safari browser.  You can also connect back to a Windows computer either using a remote desktop tool like Logmen or GotomyPC.  You can also access your database by installing Parallels on your Mac.

So what about if you don’t have an internet connection? In those cases, if you have a laptop computer or Macbook, you can have a remote database.  This would be a separate copy of the database that would physically be on your computer.  You would sync this database back to the main database before you head out on a trip and then sync it when you get back (you can sync in-between if you want).  For the Mac, you would need to have Parallels installed to make this work.

And, there are a couple of great add-on products that allow even better access on your iPhone or Droid.  HandHeld Contact is like having a mini-Act on your phone.  You can see your Act calendar real-time and clear activities from your phone and they are cleared from your database.  When you make a call or send an email using HandHeld, those calls and emails get recorded to History… all from your phone!  You can even Record History on sending a text message.  The other great addon is Companionlink which syncs Contacts and Calendars between Act and Outlook.  This brings all of your Act contacts and calendar items into your Outlook contacts and calendar and then, assuming you have Exchange or Office 365, all of these same items go to your native Contacts and Calendar on your phone.
